Record Archiving or Hiding

I can't share a picture for legal reasons, so I will try and explain. I am using Apple version of Ninox. I am managing thousands of engineering documents. When a record is "revised", the previous record needs to be "archived" or "hidden" for normal document searches. But the history of the document is vital information that must also be accessible, i.e., list all previous revisions based on a button. Please help.
