You signed the contract. Do you know when it renews?

Signing a B2B contract with a vendor or partner is the easy part. Knowing what's inside it six months later, who owns it, when it renews, and what happens if nobody acts before the deadline, is where a lot of companies quietly lose money. The contract itself is not the risk but the silence after it gets signed is.

Shared drives and spreadsheets have their merit

A shared drive with a folder per vendor is simple, and for a handful of contracts, a spreadsheet with renewal dates works fine. Everyone already knows how to use both, and there is no learning curve standing between signing something and filing it away.

The strain shows up as the contract count grows. Research puts the cost of poor contract management at around 9.2% of annual revenue, driven by missed deadlines, unfavorable auto-renewals and terms nobody enforced. A big part of that is not knowing where things are in the first place. It was also found that 71% of companies cannot locate at least 10% of their own active contracts. If you cannot find a contract, you cannot renew it on your terms, and you definitely cannot walk away from it before it renews on its own.

Having a contract and knowing what's in it are two different things

A signed contract sitting in a folder proves an agreement exists. It does not tell anyone when it expires, what the notice period is, or who is supposed to act before that date arrives. That information should be low-hanging fruit, not a quarterly fire drill where someone digs through old emails hoping to find the PDF before the deadline passes.

Most companies still keep all their eggs in one basket: one inbox, one person, one folder holding every deadline that matters. The person who filed the contract goes on leave, changes roles, or leaves the company, and the renewal date leaves with them. Nobody dropped the ball, there was just never a system built to catch it in the first place. By the time the other shoe drops, an auto-renewal has already locked the company into another year of terms nobody re-checked.

A template built for exactly this

Fixing this does not take moving mountains. Ninox now offers a contract management template, built to give teams a working system on day one instead of a blank page. It comes pre-structured with contracts, owners, renewal dates, notice periods and status, all connected, so nothing has to be reconstructed from memory when a deadline gets close. (VERIFY WHEN TEMPLATE IS DONE)

Because it runs on a low-code platform, the template is a starting point, not a fixed form. Add a field for a new contract type, change who gets notified before a renewal window closes, or connect it to an approval step your legal team already uses. A contract approaching its notice period can trigger an automatic alert to the right owner, built with scripting and conditional logic directly in the data model.

Renewals should never be a surprise

The companies losing the least value to contract mismanagement are not the ones with the most detailed spreadsheets. They are the ones where a renewal date triggers action automatically, long before it becomes urgent. A low-code platform built around a template gets a team there without months of setup.
