Dogscan GmbH — Individual ERP for an innovative healthcare startup

This german health start-up for early diagnosis of lung cancer using specially trained dogs, has implemented a tailor-made ERP system based on the low-code platform Ninox with the aim of digitally and automatically mapping all business processes. Thanks to the intuitive and flexible solution, Dogscan was able to achieve significant efficiency gains.

Die Dogscan GmbH Based in Germany, it is a young start-up in the field of health prevention. The company specializes in early diagnosis of lung cancer — using a globally unique method: Specially trained dogs analyze breath samples and recognize signs of cancer cells at the earliest stage. Dogscan is aimed at private individuals (B2C) and first corporate customers and uses a convenient testing process: Interested people receive a breath test kit by post, wear a mask for 5 minutes, send it back — and receive the result after careful analysis by the Dogscan team. The company currently employs 9 people and 5 sniffer dogs.

Challenge

As a young company, Dogscan faced the challenge of building all processes and systems from scratch. There was no existing software, no established processes. The standards were high: Founder Alexander Massen wanted a solution that not only represented all business processes, but also offered high automation potential and allowed maximum flexibility. It was also important for him to be able to develop functions himself — without relying on external service providers.

Decision and implementation

After intensive research, Dogscan opted for the low-code technology from Ninoxbecause it's easier and more intuitive compared to other platforms like FileMaker. Availability on mobile devices was also important.
Although the platform initially required some training in scripting, the learning curve was extremely steep — in a positive sense: The team was able to work very quickly with the low-code platform and implement their own functions and wishes. This easy start in particular is a decisive advantage of low-code — because it enables even small teams to implement individual solutions themselves without complex development projects. The decision was also made due to the manageable budget, which Ninox served ideally.

In a short time, Dogscan used Ninox as a central system for all processes — from data collection to dog handler training to personnel management. An individual recruiting module was also set up in the low-code platform Ninox.

Solution

Today, Dogscan digitally and efficiently depicts all data-based work processes using Ninox:

Saving time and increasing efficiency

Customer data management: Order data, return cards with barcode scanners are recorded centrally. It used to take up to 2 hours to manually enter multiple test data — with Ninox, it's now just 5 minutes.

Reporting and transmission of results: The test evaluations are automatically generated as a PDF and sent directly from Ninox via email to the people who have carried out the test.  

Training diary & performance record of the sniffer dogs: The dogs go through extensive and systematic training to reliably detect cancers. All training protocols are automatically documented with Ninox. Randomly generating software determines which search board the masks — including test and assignment masks — are inserted into. Neither dog nor handler know their position.

Each customer sample is independently examined by at least 5 dogs. The associated system log in Ninox documents which masks are positive or negative and where they were placed in the structure. At the same time, it is ensured that only the plant manufacturer knows this information — but not the dog handlers. This reduces manipulation options and ensures objective conditions during training and clear results for real samples.

For reasons of transparency, Dogscan is carrying out an ongoing performance study based on real customer orders. Automated documentation with Ninox not only saves a lot of time, but also provides a precise and comprehensible data basis for internal and external quality reviews.

human resource management: Dogscan uses Ninox also for HR tasks — in particular time recording — to be processed centrally, efficiently and quickly. The solution enables employees to quickly and easily record their working and break times directly via the calendar, both at work and on the go. In this way, the company easily meets the legal time recording requirement and at the same time saves time and resources in personnel management. “For a company without a large HR department, Ninox HR is the ideal solution: simple, secure and flexible in use,” says Franziska Schumacher. “The main relief for me is time recording — annoying Excel spreadsheets are finally a thing of the past. ”

Data protection as a basic requirement

Data protection and role concepts were considered from the outset, as Dogscan works with particularly sensitive health data. Private individuals order the tests either for themselves or for others (relatives, friends) and companies can provide tests for their employees. However, only the person who actually wants to carry out the test will receive the breath test kit directly by post — and only they will receive the result.

Data processing and transmission of results are carried out exclusively via tested, secure processes within Ninox, so that data protection and confidentiality are guaranteed at all times.

By using Ninox, media breaks could be eliminated, errors reduced and resources could be used more wisely.
